Hours

Variable (expected 10 to 20 hours per week) The variable working hours reflect the changing demands on student representatives across the academic year – applicants must be flexible in this respect. In turn, the St Andrews Students’ Association is committed to giving flexible time off around exams and deadlines wherever possible. Specific schedules will be discussed with the successful applicant. 

An average of 12 hours per week can be expected, some of which will be scheduled standing meetings/hours and some of which will be independent project work. 

The Role

With over 140 affiliated societies, working as part of Student Opportunities is fast moving and incredibly varied. Working alongside the election President of Student Opportunities, and the permanent staff team, we’re looking for someone to support the development and strengthening of key student communities on campus. 

This position will work with the Activities Coordinator, and within the wider representation and society structure including the President of Student Opportunities and the Society Officer to ensure the continued enhancement of the student experience.  

Applicants should be able to work a minimum of one hour per day (during the work week) closely with the Activities Coordinator and the President of Student Opportunities, setting priorities, carrying out administrative tasks, and supporting in drafting template communications. The post holder will also work as part of the wider representation team on a variety of projects, including One Union Awards. The variable working hours reflect the changing demands on student representatives across the academic year and so applicants should be prepared to respond accordingly by supporting with larger scale standing items such as Freshers Fayre. Some projects and activities may occur outside of term time or working hours, but specific arrangements will be made with the successful applicant on a case-by-case basis.

Principle Responsibilities of Post-Holder

  • Provide administrative support to the Activities Coordinator, the President of Student Opportunities & Activities by assisting with meeting scheduling, monitoring status of Association Funds,  

  • Reading relevant meeting agendas and papers and summarising the key points as relevant.  

  • Work to develop our student development and activities offerings, including by advising societies on administrative and general questions as well as researching the work of sector peers in this area. 

  • Organise the President of Student Opportunities and the Activities email accounts, keeping an overview of the inbox and coordinating time sensitive replies 

  • Assist in sorting society mail 

  • Ensuring the central Union activities webpages are up to date with relevant information.  

  • Collect, record and send regular all society emails with necessary information and updates. 

  • Collect all society information from AGMs for reaffiliation. 

  • Support on creation and development of society trainings. 

  • Support on the drafting and development of society policies and governing documents 

  • Maintaining society records when necessary 

  • Work on other special projects throughout the year. These may include: One Union Awards, Elections, Freshers Fayre, Refreshers Fayre, Societies training, Student Spend Budget, Annual Report, joint initiatives with the University as they arise.

  • Experience in higher education (as student or staff) - E
