Variable (expected 10 to 20 hours per week) The variable working hours reflect the changing demands on student representatives across the academic year – applicants must be flexible in this respect. In turn, the St Andrews Students’ Association is committed to giving flexible time off around exams and deadlines wherever possible. Specific schedules will be discussed with the successful applicant. 

An average of 12 hours per week can be expected, some of which will be scheduled standing meetings/hours and some of which will be independent project work. 

The Role

Every year, the Students’ Association elects and recruits hundreds of volunteers to impact the student experience across every area of the university. From academic representation to student activities, we would not exist without our incredible volunteers and their passion for making sure every student has the best experience whilst studying.  

This position will work with the Activities Coordinator, and within the wider representation and volunteer and employability structures including the President of Student Opportunities, the SVS Convener and the Employability Officer to ensure the continued enhancement of the student experience.  

Applicants should be able to work a minimum of one hour per day (during the work week) closely with the Activities Coordinator and the President of Student Opportunities, setting priorities, carrying out administrative tasks, and supporting in drafting template communications. The post holder will also work as part of the wider representation team on a variety of projects, including Volunteer of the Month. The variable working hours reflect the changing demands on student representatives across the academic year and so applicants should be prepared to respond accordingly by supporting with larger scale standing items such as the Student Excellence Awards, Portal Awards and Honorary Life Membership. Some projects and activities may occur outside of term time or working hours, but specific arrangements will be made with the successful applicant on a case-by-case basis.

Principle Responsibilities of Post-Holder

  • Provide administrative support to the Activities Coordinator and the President of Student Opportunities by assisting with meeting scheduling, monitoring status of the relevant Association Funds and Awards, keeping an overview of the President of Student Opportunities and the Activities inboxes and coordinating time sensitive replies  

  • Opportunity to create and manage new projects regarding volunteers and volunteer recognition 

  • Work to develop and implement the University and Union employability strategy  

  • Reading relevant meeting agendas and papers and summarising the key points as relevant  

  • Work to develop our student volunteering and employability offerings, including further develop volunteer recognition as well as fostering links with the University Employability services 

  • In partnership with SVS, administer the provision on the Volunteer Portal 

  • Recruit and organise volunteers for key events throughout the year, including Freshers Fayre, Refreshers Fayre, and the Volunteer Portal Awards 

  • Publicise deadlines for and offer advice and support for those logging volunteer hours? 

  • Collect, record and send emails with necessary information and updates. 

  • Administrate Volunteer Recognition Schemes  

  • Keep website and marketing up to date with volunteer achievements and relevant guides 

  • Work with elected officers on Union projects 

  • Mange and advertise any relevant funding 

  • Work on other special projects throughout the year. These may include:  One Union Awards, Student Excellence Awards, Volunteer Portal Awards, Students’ Association Elections, Freshers Fayre, Refreshers Fayre, Student Spend Budget, Annual Report, joint initiatives with the University as they arise.
