Attendee terms

Thanks for coming to St Andrews Students’ Union. These terms include information about how our venue operates, and the rules we have in place to keep everyone safe. If you have any questions, contact [email protected].
In addition to these terms, some events may have further details or special clauses. These will be included in the event details or communicated to you by email.
Membership and entry
- Members of the Students’ Union include:
- Ordinary members: current students at University of St Andrews.
- Associate members: staff of the University of St Andrews, or the St Andrews Students’ Association.
- Alumni: all alumni of the University of St Andrews.
- Reciprocal members: all current students of reciprocal unions.
- Members can access the Students’ Union by providing proof of membership, proof of age, and a valid ticket where applicable.
- Non-members can access any event advertised as open to all. They can also access members-only events if signed in as a guest by a member.
- Only members aged 18 or older may sign in guests.
- All guests must be aged 18 or older.
- The member is responsible for their guests’ conduct and may be subject to disciplinary action as a result of their guests’ actions.
- Members can sign in up to four guests at a time.
- Guest sign-ins cost a £1 surcharge on the ticket price, payable at the door.
Food, drink, and alcohol
- You may consume your own hot or cold food on the top floor landing of the Union, but you may not supply food for others. You may not cook or heat food on the premises.
- No food is permitted anywhere else inside or outside the building, unless supplied as part of a booking or purchased at the venue you are eating it in.
- You may consume your own hot or cold soft drinks anywhere in the building except our bars and cafes. You may not supply drinks to others (e.g. you cannot bring your own selection of drinks to a meeting). The Union can provide drinks for meetings.
- All alcoholic drinks must be purchased at a Union bar and consumed in one of our bars, venues, or at a pool table (not in the meeting rooms, society rooms, rehearsal rooms, or cafes). You cannot bring your own alcohol into the building.
- If you are overly intoxicated on arrival, you will be refused entry without refund.
- Alcohol sales are governed by the Licensing (Scotland) Act 2005 & other relevant legislation.
- Buying or drinking alcohol is only permitted if you’re aged 18 or older.
- Drinks cannot be taken off site unless served in a takeaway cup.
- After the bar closes, you have 15 minutes of drinking-up time to finish alcoholic beverages. You cannot consume alcohol on site after that time.
Pets and animals
Well-behaved dogs are welcome in Rector’s Café, Old Union Coffee Shop, and on the field at the back of the building.
No pets or animals (including emotional support animals) are allowed in any other part of the Union, including outdoor spaces, except:
- trained guide dogs,
- assistance dogs with accredited training from Assistance Dogs UK (ADUK) member organisations or accredited by the Assistance Dog Assessment Association (ADAA), or
- animals which are included in pre-booked events, accompanied by professional handlers, and with approved risk assessments and insurance where applicable.
Cloakroom and your belongings
- Bag and personal searches may be undertaken. If you refuse a search, you will be refused entry.
- Do not bring anything which could be considered dangerous to the Union. This includes, but is not limited to:
- Bags larger than an A4 piece of paper
- Bladed articles (real or plastic) e.g. Sgian dubhs
- Large umbrellas
- Large-bodied cameras and camcorders
- Drones
- Unauthorised musical instruments
- Laser pointers
- Other articles prohibited by law
- A cloakroom is available at some events to store jackets and any large bags.
- Items are accepted subject to capacity and only when the cloakroom is open.
- We can’t accept liability for cash, valuables, fragile items, loss, theft, or damage, unless by proven negligence of a member of our staff.
- The maximum liability for any item is limited to £100.
- We may reject to store any item. We will not store anything illegal, dangerous, perishable, unhygienic, or oversized.
- You will be given a ticket for each item you store. You need to present this ticket to collect your item.
- If you lose your ticket, once all other items in the cloakroom have been collected, you will need to provide a detailed description of the item, and we will do our best to locate your item.
- Items which have not been collected when the cloakroom closes will be treated as lost property.
- Lost property describes any items left in the Union by accident, such as a dropped phone or missing ID.
- Left property describes any items intentionally stashed in the Union, such as jackets and bags tucked into corners. These items risk other people’s safety by becoming trip hazards or other risks and should instead be stored in the cloakroom.
- Left property will be searched and may be destroyed if it is dangerous.
- Non-dangerous left property will be stored for 8 weeks and can be retrieved in person upon payment of a £10 fine. Items can be collected at the end of the night once all cloakroom ticketholders have retrieved their belongings, or during advertised collection windows.
Conduct
- Antisocial behaviour is not acceptable. If you cause upset to others, endanger your own and/or other people’s safety, breach Association rules, do anything illegal, cause intentional property damage, crowd-surf or mosh, or do anything else generally not-very-nice, you will be removed from the premises without refund and may be subject to further disciplinary or legal action.
- Illegal drugs or psychoactive substances are not permitted. If you are found to be using, carrying, or under the influence of these substances on site, you will be removed from the premises without refund and may face disciplinary action from the Association or law enforcement.
- Illegal substances will be confiscated and passed to the police for destruction.
- Smoking and vaping are only permitted in marked outdoor areas.
- Smoking or vaping anywhere else will result in disciplinary action, confiscation of smoking or vaping materials, and removal from the premises.
- People who are banned from the Union will not be permitted at offsite events operated by the Union, including those managed by another organisation using our security service.
- Unlicensed betting and gambling are not allowed.
- Entry may be refused or suspended at any time for any reason. We also reserve the right to eject persons from the premises.
- Re-admission to the event is at our discretion – check with gate staff before you leave if re-admission is permitted at your event or contact [email protected].
Tickets
- You must present valid photo ID when collecting a ticket, and for student-only events, your matriculation card.
- Valid photo ID includes a passport, UK, US, or EU driving licence (or provisional licence), or a card bearing the PASS hologram.
- Each person must collect their own ticket. You cannot collect a ticket for a friend, even if you bought it for them and have their ID.
- You should only buy tickets from yourunion.net or from our gate staff. Third party websites may not be genuine, and we will not accept tickets sold by an unapproved vendor.
- You may not purchase a ticket with the intent to resell it. Tickets resold at an inflated price or for personal gain may be voided without refund.
- You may not purchase tickets using bots or other automated means.
- If you cannot attend an event, you may transfer your ticket to someone else. You must transfer your ticket on our website – screenshots of tickets may not be accepted.
- Refunds are issued at our discretion only.
- To request a refund, view your ticket online in your account and select the “Request refund” option. If this option is not available, refunds are not available for your ticket.
- Refunds are never available after a ticket has been collected, or after an event has started.
- If you lose or damage your ticket or wristband after collecting it, we cannot replace it. You would need to purchase another ticket to access the event.
- If you require a wheelchair space at a seated event or a companion for medical reasons, please contact [email protected] in advance to book subject to capacity.
- Prices advertised may occasionally include errors. In this case, we will give you the option of a credit/debit (as appropriate) to confirm your order, or a refund. If you do not reply to our contact, we may cancel your order.
- Prices may change after you purchase your ticket. In this case, you are not eligible for a refund or credit.

Event changes
- If an event is cancelled, you will be eligible for a refund for your ticket. If only part of an event is cancelled (e.g. one day of a multi-day event), we may instead only offer a partial refund proportional to the amount of the event that is cancelled.
- If an event is rescheduled, your ticket will be valid for the new date or time. If you cannot make the new event and let us know within the deadline we set when notifying you of the rescheduling, you will be eligible for a refund of your ticket.
- If an event is significantly changed, you may let us know that you no longer want to attend by the deadline we set after notifying you of the change and you will be eligible for a refund of your ticket.
- Significant changes could include things like a replacement of headline act. It does not include things like the use of understudies or replacement of single band members, changes to single acts in multi-performer events, changes to the schedule, or changes to event theme.
- In any of the above cases, services charges and fees would not be included in the refund.
- If a deadline is not set any of the above cases where a refund is available, the deadline is 72 hours before the original event was due to begin, or 72 hours before the rescheduled event was due to begin (whichever is later).
At an event
- Advertised timings and schedules are advisory, subject to change, and not necessarily indicative of a performance’s duration. Event content may be altered at any time.
- If you are running late to an event with a particular schedule, we will do our best to get you in at a suitable break, but we cannot guarantee it. Similarly, access to ‘drop-in’ style events (e.g. club nights) are subject to capacity – we recommend that you arrive early to avoid disappointment.
- Photographers and videographers are present at many of our events. These photos and videos may be used in future publicity by the Union, event organisers, or other related groups. If you’d prefer not to be included in these, please make yourself known to the photographer or videographer when you arrive.
- Our venues are covered by CCTV, and recordings may be shared with relevant partners and authorities for the purposes of safety, crime prevention, and detection.
- Unauthorised use of photographic or recording equipment at our events may be prohibited – check signage on arrival or ask a steward.
- Some events include special effects like flashing lights, loud noises, or smoke effects. If this may be a problem for you, contact [email protected] or check signage on arrival to the venue. We will not be able to offer a refund after the event starts if this content means you cannot participate.
- Please leave escape routes and emergency equipment (e.g. fire extinguishers) clear, and do not wedge open any doors.
- No flames or candles are permitted.
- Some of our events may include discussion of sensitive or upsetting topics. Check the event listing for details or contact [email protected] for more information. We will not be able to offer a refund after the event starts if this content means you cannot participate.
- Loud music and noise can damage your hearing. We recommend that you use appropriate hearing protection for the event you are attending. Earplugs are available on request from staff.

The Union shall not be liable for disruption, postponement, alteration, or cancellation arising from circumstances beyond its reasonable control.
