1. Decide on a date for the AGM
• This needs to be within one calendar year of your last AGM.
• No new members are allowed to join your society within 2 weeks of when your AGM is going to be held.
• AGMs cannot be held within the first 2 weeks of the academic year, within the holidays/revision period or during the Student’s Association elections week (just before the Easter Holidays).
2. Inform the SSC Member for Societies Elections
• Log in to the minisite using your society username and password; if you don't have this, or if you aren't familiar with the website, check out the guide. From there, submit an "AGM/EGM Request" form with the details you've decided on. Do this no later than 14 days before the date you wish to hold it, as he (or another member of the Societies Committee) will need to attend the AGM as a Returning Officer.
3. Inform all members in your society
• Do this at least seven days in advance. We suggest you use your societies non-personal email address to contact all of the members on your mailing list.
• Make clear that only paid members can vote. If you are voting on a constitution change it may help to let people know the proposed change before the AGM so that they can think about it.
