Committee Meeting Minutes

1.0 Convenor’s Welcome
 
Dave begins the meeting by explaining for the benefit of the first years how Union elections work. He wants to make the system clear so that everyone thinks carefully and votes properly on Friday and so that each vote counts because it can really make a difference. He says he is impressed with the turnout to hecklings and he also emphasises that the DoSDA position is also important for the Charities Campaign. He can’t say anymore in his unbiased professional capacity!
 
2.0             Exec Committee Updates
 
2.1             Katie- RAG Week coordinator
 
Katies reminds everyone to pay for their RAG Week poloshirts- she knows who you are! Dave reminds everyone that Katie’s job is an interviewed position and although it is with a large panel, it won’t be scary!
 
2.2             Jade- Secretary
 
I just remind everyone that I am taking names of Charities to be nominated at the AGM. Also anyone who wants to run for an Exec position should email me but there are still quite a few weeks left to do so, so no hurry.
 
 
2.3             Tom Hobbs- Hitchhike Convenor
 
Tom says he had a good weekend and things are going well. Basically the only thing to report is that there will be a Race meeting next Friday at 5pm in Venue 2 for all of the racers.
 
2.4             Clare- Treasurer
 
Clare says that the only thing really to mention is if anyone needs to hand in a receipt to please do so soon.
 
2.5             Jade –Secretary
 
I don’t have much to report but I say that Coral Dyer from SVS will be coming to briefly speak to us at next Monday’s meeting.
 
2.6             Tom- Hitchhike Co-ordinator
 
Tom says that he is still chasing few people for hitchhike money but hopefully soon he will be able to reveal and nice big total!
 
2.7             Sarah- Collections Coordinator
 
Dave almost forgets Sarah this week! Sarah says that there will be a collection this Saturday in Aberdeen for Barnados. The plan is to arrive at about 1.30 pm collect between 2-3 then watch the football game for free then be home for about 7. Matt is annoyed he can’t make it considering the football will be free! Dave will be driving the minibus and so he requests road trip tunes and provisions. There are limited spaces and names may be drawn out of a hat. Sarah passes around a sign up sheet.
 
2.8             Will- Nominee to Exec
 
Will says that he has been in contact with the society STAG about a cross-country idea. The idea would be to Race from one coast to another coast in Scotland. He also says that he has made a short video with tips and hints about how to hitchhike- Dave says he would like to see that next week.
 
 
 
3.0             Other Committee Members
 
3.1             Alex- Fun-Run Coordinator
 
Alex says that the Council have received the paperwork and he hopes to hear back from them in two weeks. He thinks that all health and safety issues should be ok. He asks to have a quick meeting about everything after the Committee Meeting finishes.
 
3.2 Jumble Sale organising team
 
The sale is planned to take place in Venue 1 from 12 noon on Wednesday the 26th. Dave says that the team will need to speak to Rich to book a date. Posters have been discussed and the motif is ‘charity chic’ with a picture of Rory and a Mastercard ‘priceless’ tagline. They thought Rory could be outside of the Union advertising the event on the day. Apparently Craig has ‘volunteered’ to be Rory! Dave recommends that they email the Design team about the posters and that they promote it on Facebook. He says that after the meeting they can go and have a look at the items up for sale. It will be up to them to decide on prices and Dave thinks that having 2 drop off times for unwanted clothes is a good idea. If things don’t sell then they can be donated to a charity shop or recycle the textiles. There is a brief discussion over ownership issues but that is resolved. Clare says she will help with counting the money at the end of the day. The idea of having manikins is brought up and Dave says if they can find them then they can use them! Overall Dave is pleased with how elaborate the plans are and says well done to the team.
 
4.0             Meeting Closed
 
Dave closes the meeting and remembers to say that the social for this week has been cancelled and it will be rescheduled for in a week or so. Dave reminds everyone to vote at the Union elections. He asks does anyone have any further questions? With no more questions he closes the meeting.
