Committee Meeting Minutes

1.0 Convenor’s Welcome
 
Dave introduces himself for the benefit of new people and welcomes everyone. He remarks that there has been a massive turnout and it is great to see so many new faces!
 
2.0             Exec Committee Updates
 
2.1             Tom- Hitchhike Coordinator
 
Dave congratulates Tom on Race2Amsterdam which was an outstanding event. Everyone applauds. Tom explains that everything went smoothly and everyone has an amazing time. The group that won beat the Paris record by finishing in 17.5 hours. The team that came last took around 80 hours, but it doesn’t really matter because either way loads of money was raised! Tom says that he will be collecting the money this Wednesday from 12-5 and after that he will be able to announce the group who raised the most. He says that there will be a social for everyone on Wednesday at 7.30 pm in the main bar of the Union and he will be giving out prizes to the teams. Dave adds that the Race2Amsterdam event is only three years old but it has grown enormously and it is very successful and professional, especially considering the amount of time it has been running. He thanks everyone who was involved for all of the effort they put in and the trouble they went to.
 
 
 
2.2             Sarah- Collections Coordinator
 
Sarah says that there are many collections planned for this Semester but she will talk about those after RAG Week! She goes on to say that there will be RAG Week collections starting this weekend on Saturday for 6 noms (where everyone should wear purple) and Sunday for MyelomaUK (in orange t-shirts) in St Andrews. Then there will be collections everyday during RAG Week from 11-2 outside of the Union alongside Karlie’s stall. Sarah passes around a sign-up sheet and hopes that some people will want to collect days other than Sunday! Sarah reiterates how much money can be raised from just an hour of collecting- often over a hundred pounds! So she stresses that it is a really worthwhile thing to do.
 
2.3             Karlie- Events Coordinator
 
Karlie says that she will be running a stall during RAG Week outside the Union from 11-3 everyday. Each day will be a different theme and the aim is to promote and advertise the evening RAG Week events that will be going on. For example, she will be making and selling Pirate and Ninja headbands to advertise the bop and making Rory McLion biscuits. Karlie passes around a sheet for people to sign up.
 
2.4             Katie- RAG Week Coordinator
 
Katie explains for the benefit of the new members what RAG Week is. It is basically the Campaign’s flagship week of super fundraising events and she thinks it will be fab! Katie wants volunteers to help her publicise by distributing flyers and posters around town, a sign-up sheet gets passed around for this. Katie says that there will be a volunteers meeting on Friday at 5 in the Committee Room and everyone will get the lovely purple t-shirts then. Katie runs through the events for each night of the week and it sounds like a great line-up:
 
Friday-Toga Bop 10-2pm
Saturday- Band Night, Lost, Collection
Sunday- Collection, Cedildh
Monday- Mr St Andrews
Tuesday- Bingo and Indie Pop
Wednesday- Fashion Show, Hockey Tournament
Thursday- Comedy Night and live music in main bar
Friday- Pirates and Ninjas Bop and Gunge-a-Sabb!
 
Lindsay, one of the event organisers, says that plans for the Bingo night are going really well with lots of lovely prizes to be won! Elizabeth, the organiser of the Fashion Show, says that everything is going well. Tom, the Hitchhike Coordinator says that entries for LOST will take place on Wednesday in the Union. Katie passes around a sheet for anyone wanting to play in the hockey tournament and there is quite a bit of interest. Dave adds a few words about the role of volunteers. He says that volunteering should be fun, it is, after all, the event organiser’s job to worry, and volunteers will get free tickets to events. He hopes everyone will bring friends to the events but he does ask for everyone to be prompt on the night and to be sensible with any tasks allocated. He says that more will be discussed at the various up-coming RAG meetings.
 
Clare- Treasurer
 
Clare asks once again for everyone to go to the Cash Office to get refunded money for bus fares and other expenses. She reiterates that if the money is not collected soon then it will go to charity! She also wants everyone to pay for hoodies and RAG Week t-shirts as soon as possible.
 
 
3.0             Other Committee Members
 
 
3.1             Katherine- Cloakroom Co-ordinator
 
Katherine says that she may need a few more helpers for Cloakrooms during RAG Week and Dave says that he can sort that during the Volunteers meeting.
 
3.2             Alex Fun-Run Co-ordinator
 
Alex says that he will be organising the Fun-Run more over the next few weeks but he adds that there are still spaces in the Edinburgh Marathon. He says MyelomaUK will pay for places in a four-person relay team so he asks for anyone interested to contact him.
 
3.3             Pippa- Halls Rep
 
Pippa asks for some buckets for hall pre-bop parties.

3.4             Ben- Ben says that on Saturday the 23rd there will be an A Capella music night hosted by Blind Mirth in the Younger Hall. He is hoping that some of the proceeds may go to charity and urges everyone to come.
 
4.0             Meeting Closed
 
For the final words of the meeting, Dave emphasises that although the next two weeks may be hectic and at times a little stressful he hopes that ultimately everyone will have fun during RAG Week and keep it a light-hearted affair. He appreciates the time everyone will be putting in but he adds that people should only volunteer if they can be reliable. He says that there will be no meeting next week due to RAG Week and so the next meeting will be on the 25th of Feb. Also, it is not long until all of the Committee positions will be up for election so he encourages everyone interested in getting involved to start thinking about that or talk to the relevant person already in the position. He finishes by saying that he hopes to see everyone at all of the RAG Week events and that everyone has a wonderful time.
