Committee Meeting Minutes

1.0 Convenor’s Welcome

 

Dave welcomes everybody. The question for this week is, ‘What is the most extreme thing you have ever done?’ We hear many crazy stories especially from Kathryn!! Dave starts the meeting by saying what a great week it was for Charities last week. The Race to Amsterdam meeting went very well, as did the Halloween Bop and the Sue Ryder Collection. Dave says how impressed he has been with everyone’s commitment and dedication over the last few weeks. He thanks everyone for the time and effort that has been put into the campaign recently; it has been a brilliant start to the year.

 

2.0             Exec Committee Updates

 

2.1             Clare- Treasurer

 

Clare starts by giggling and Dave wonders what is in her drink!! All that Clare really has to say is to remind everyone about bus tickets and that she will have a total for us all later this week. The swapping of hats then continues much to the amusement of all.

 

 

2.2             Sarah- Collections Co-ordinator

 

Sarah says a big thank you to everyone who went along to the Sue Ryder Collection in Dundee last Saturday. Sarah apologises for being in a bit of a bad mood but she says that we still raised a respectable £436.59! Craig was the best collector of the day raising £88.09. Sarah goes on to tell all about the planned collection for Children In Need in St Andrews on Monday 19th November. She passes around a sign-up sheet.

 

2.3             Karlie- Events Coordinator

 

Karlie starts by saying a big thank you to all who helped out at the Halloween Bop! The night was a great success and she hopes that the night raised over £500 for our 6 noms-this will be confirmed in due course. Karlie would especially like to thank Mhairi, Nic, Kathryn and Sarah for their great help during the night. Karlie goes on to talk about the planned Xmas meal for the 18th December, possibly at the Grill House. She says she will be asking for names after reading week because we need to book it quite early. She then hints that around April time we may be organising a charity bungee jump event!

 

 

2.4             Tom- Hitchhike Coordinator

 

Tom says that about 18 people will be taking part in Jailbreak this coming Saturday. He says there will be a meeting for information this Friday at 6.30pm in Venue 2. He is pleased that the Race to Amsterdam meeting last week went so well, there was a great turn out and everyone is just generally excited! He says that anyone wanting to take part should email him or go along on Wednesday 21st November at 1pm to the Union to pay the entry fee. He tells everyone about the limited number of VIP spaces available and that anyone interested should get in contact soon.

 

2.5             Katie- Rag week Coordinator

 

Katie is pleased that last weeks meeting went really well and it seems that plans for Mr St Andrews are well under way with things moving along nicely. She reminds everyone that this weeks meeting is at 2.30 pm in the main bar of the Union on Wednesday.

 

2.6             Will- Nominee to Exec

 

Will just says a little about what he has been up to recently, he helped set up the stage etc for the Halloween Bop and he is looking forward to the Race to Amsterdam.

 

 

3.0             Other Committee Members

 

 

3.1             Katherine- Cloakroom Coordinator

 

Katherine is pleased with how the cloakrooms are running. She says that so far the cloakrooms have raised £1,600! She mentions to Dave that at some point they need to decide if the campaign will do the cloakrooms for the Xmas ball.

 

3.2              Kathryn- Sponsorship Officer

 

Kathryn says that she and Charlotte went around 25 businesses in St Andrews to give out sponsorship letters to encourage the donation of prizes. I remind her that she changed the letter so that it looked more professional-she is so modest! She intends to go back soon to the businesses to remind them about us and just to generally harass them!

 

 

3.3             Alex- Fun-Run Coordinator

 

Alex has been doing a lot of research recently into potential dates for the run. At the moment he is thinking about a weekend after the Easter break. He has been in contact with the local authorities to organise the routes, he would like to start and end the race in the quad. He has also talked to the UOTC in St Andrews and they are interested in marshalling the event. He has also talked to his cross-country running committee and they have a few ideas about sponsorship. Dave says that he is very impressed that Alex is starting to organise this so early. Alex quickly adds that he has had some interest from people wanting to do the marathon/ relay race in Edinburgh and he hopes to get those applications under way soon.

 

 

4.0             AOCB -

 

4.1             Clare- Dave says that he will talk to Clare soon about IT Officer stuff.

 

4.2             Elizabeth- Elizabeth tells everybody that the first Edinburgh Breast Cancer Moonwalk meeting is taking place at 8.15 after this meeting in the Union bar.

 

4.3             Mhairi- Mhairi makes the point that Race to Amsterdam posters are EVERYWHERE! She and Dave congratulate Ceri and Ben for such a good effort with the posters recently.

 

5.0             Meeting Closed

 

Dave says that we have had such a busy few weeks and he adds that hopefully we will come up with a few ideas for events after reading week- because at the moment the schedule is quite quiet! He hopes that everyone has a nice break and says he will see everyone soon.
